We seek an Executive Assistant who will be responsible for all executive-level administrative support to the SVP Client Engagement, to include expense management, Client and Sales support, and coordination with the Finance team, as well as a variety of administrative tasks.

In this position, you'll be responsible for:

  • Proactively reaching out to the executive and/or team in drafting or soliciting items to be listed in the agendas and facilitates meetings where necessary. Acts as a liaison between the executive & the team for all internal communications and follow up actions; Prepares and distributes minutes as required.
  • Arranging complex and detailed travel plans, itineraries, and agendas; compiles documents in advance of travel-related meetings, ensures the executive has all he/she needs for their trip/meeting
  • Collecting data and running standard monthly reports
  • Periodic check-ins for priorities and planning; Keeping executive well informed of upcoming commitments and responsibilities
  • Managing executives calendar, prioritizing, accepts/declines meetings in consultation with the executive
  • Completing and filling expense reports for executive in a timely manner
  • Reviewing and approving all expense reports for client engagement team
  • Coordinating all travel and hotel reservations
  • Fielding all inquiries related to travel availability cost and coordination
  • Coordination of RFPs from inception to completion and transmission to the client on behalf of dedicated sales person
  • Coordinating with SalesForce data team to create ad-hoc reports, and runs standard monthly reports; dashboard maintenance; data collection for reporting; consolidating metrics for sales directors and present data that can be easily comprehended (with graphs, charts etc.)
  • Maintaining a library of consolidated materials, both for CareSelect and SmartShopper which can then be referred to as and when needed
  • Providing support to the Strategic Account Managers by playing a key role in coordination of open enrollments, providing marketing materials, outlining a process of what to send and maintaining an inventory of giveaways
  • Maintaining a ‘slides library’ for the marketing team which can be referenced and used for preparing timely PowerPoint presentations
  • Building and maintaining database of contacts, clients and relevant information for the sales team which can then be used for extraction of resourceful information on an as needed basis
  • Coordinating with Finance and Client Engagement team as required to assist client invoicing
  • Facilitating answers if needed on invoice payment requests

You might be a good fit if you have:

  • 5 to 10 years of experience supporting Senior Level Executives
  • Demonstrates excellent written and verbal communication skills to facilitate and interact with key stakeholders both internally and externally
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners
  • Exemplary organizational skills with ability to perform and prioritize multiple tasks seamlessly with attention to detail
  • Demonstrates a proactive approach to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability function independently
  • Proven ability to handle confidential information with discretion, adaptable to various competing demands, demonstrates the highest level of customer/client service and response
  • Demonstrates a high standard of performance meeting expected goals and deadlines within a faced paced environment
  • Proactive thinker, who actively seeks opportunities and proposes solutions
  • Bachelor's degree required
  • Demonstrates high level proficiency in Microsoft Office (G suite  - calendar and Gmail, Word, Excel, and Power Point), Adobe Acrobat
